STUDENT_RECORDS
Admission numbers, guardian contacts, gender, date of birth, and full academic history. Bulk import via Excel.
RESULTS_ENTRY
Per-subject result entry with continuous assessment and final examination split. Teachers see only the subjects they are assigned to.
ECZ_GRADING
Automatic 1–9 scale for secondary, letter grades for primary. Conforms to ECZ syllabus categories.

BILLING
Termly subscription plus pay-as-you-go SMS credits. Pay with MTN, Airtel or Zamtel mobile money, or by card.
RECEIPTS
Every payment to EduTrack generates a printable PDF receipt with school details for accounting.
ROLE_BASED_ACCESS
School Admin, Class Teacher, Subject Teacher, Bursar, Viewer. Each role only sees what it should.
AUDIT_LOGS
Every login, edit, deletion, and bulk action is logged. Filter by user, action, or date range.
SETTINGS
Branding, term dates, grading thresholds, and SMS preferences — all configured per school.
DATA_EXPORT
Export students, results, and attendance to Excel at any time. Schools own their data.
Bill, collect, receipt and follow up
> Included in the Standard and Premium plans. Off until the school switches it on in Settings, so schools that don't charge fees never see it.
FEE_SETUP
List what you charge (tuition, boarding, PTA) and the amount per term: one amount for every grade, or a grade's own amount where it differs. Boarding can apply to boarders only.
BILL_THE_TERM
Check every pupil's bill on screen, then bill the whole school in one step. Standing discounts (staff children, siblings) come off automatically. Unpaid fees carry into the next term.
PAYMENTS_&_RECEIPTS
Take cash, bank and mobile money payments. Each gets a numbered receipt to print, with no gaps in the numbers, and the parent can be sent an SMS receipt.
EXTRA_CHARGES
Exam registration, trips, uniform, a lost book: charge one pupil, or tick pupils in a grade or class, and it is owed like any bill.
WHO_OWES
Everyone who owes, by class, with their parent's phone and last payment. Print a follow-up list or export it to Excel.
FEE_REMINDERS
Text the parents of a class, a grade or the whole school, each with their own child's balance. See the cost in SMS credits before you send.
BURSAR_ACCOUNT
A bursar signs in to take payments and print receipts, and sees fees only, not marks. Voids, waivers and discounts stay with administrators and are audit-logged.
MONEY_IN
What came in by day, by payment method and by who took it, with every receipt listed. Excel export for the accounts.
IN_STUDENT_RECORDS
Each pupil's balance shows in the Students list and on their profile, next to the rest of their record.

Free public library of ECZ past examination papers organised by grade, year, and subject. No account needed.
SCHOOL_REGISTRATION
Schools can self-register at /register-school. Approval handled by the EduTrack operations team within 24 hours.
PARENT_LOOKUP
Public, no-login results lookup at /check-results. Works on any phone with a browser. Free for all parents.
